Full time (35 hours per week)

Salary: $46,000 with a salary review after 6 months

Role overview:

The Operations and Communications Coordinator position offers a unique opportunity for a driven Communications Professional to manage the operations of a small not-for-profit arts organization, closely connected to the film and television industry, while leading associated communications deliverables. The ideal candidate will be coming with formal education in a communication studies related program (at undergraduate or postgraduate level), with experience working within a small communications team environment, and ideally has some experience in working for a non-profit or not-for-profit organization.

Responsibilities:

The main responsibilities of this role include (but not limited to):

  • Establish a communication strategy to fit with the organizational goals, aligning all communications activity (including website, social media, traditional media, Bespoke publication)

  • Manage communication activities, including evaluating existing channels, improving social media reach, identifying key areas for media exposure, and building relationships with key media contacts

  • Ongoing communications with the Executive Board and provide monthly and/or bi-monthly updates at Board Meetings

  • Plan and coordinate of all CAFTCAD courses and identifying areas for volunteer support with the assistance of the Operations Assistant

  • Updating of website, ensuring all content is accurate, engaging and up-to-date

  • Social media content management on CAFTCAD accounts focussing on Instagram, Facebook, LinkedIn and Twitter

  • Work closely with Events Contractors on larger events including CAFTCAD Awards and Movie Wardrobe Sales

  • Play a key role in generating funds for the organization, including sponsorship, fundraising initiatives, and advertising sales

  • Enhance current member benefits with direction from the Board, ensuring they are customer focused yet achievable and in line with the budget

  • Act as the Managing Coordinator and Advertising Manager for CAFTCAD’s annual magazine, BeSpoke 

  • Ensure the consistency of CAFTCAD brand and formalize brand guidelines

  • Provide a physical presence of the organization and provide access to CAFTCAD resources to members once/twice per week 

  • Office management and administrative duties as required 

  • Identify opportunities for promotion of CAFTCAD members and their work

  • Management of CAFTCAD calendar of events in liaison with the Executive Board, ensuring it is varied, manageable and cost-effective

  • Create all graphic design needs for event specific materials for Eventbrite, Instagram, Facebook events, CAFTCAD website calendar

The above job description is not exhaustive and will require someone who is able to perform other duties as required.  The role will require flexibility, including evenings and weekends when needed.  In return, the Operations and Communications Coordinator has the opportunity to accrue lieu time which can be added onto vacation days. Flexible working in terms of hours and location are open to discussion and negotiation, but the Operations and Communications Coordinator will be required to report to the CAFTCAD office in Toronto, Ontario on a weekly basis.

Requirements:

Essential

  • Completion of post-secondary education in the field of communications or business administration

  • 3+ years work experience in a communications and/or administrative role, ideally within a small team

  • Professional communicator with the ability to adapt level of discourse to suit environment and audience

  • Proven fundraising experience in sponsorship generation and sales with a creative approach to new ideas

  • Good knowledge (intermediate level) of Canva, Google Workspace, Microsoft Suite, Adobe Acrobat and Photoshop, Squarespace, Eventbrite, Mailchimp

  • Excellent verbal and written communication skills

  • Excellent time management skills

  • Experience in social media posting, copy editing, and content creation

  • Familiarity with social media platforms including Instagram, Facebook, Twitter/X, LinkedIn, and YouTube

  • Ability to multitask and work under pressure with minimal supervision

  • Demonstrated ability in developing communication tools; experience overseeing website and social media platforms

  • Interest in the costume arts community within film and television 

Desirable

  • Experience working within non-profit or not-for-profit environment

  • Event Coordination experience

  • Full G Driver’s license

  • Knowledge of the film and television industry

  • Grant writing experience
